Job Description
Qualifications
The Parish Secretary should have good communication skills to greet callers and welcome visitors to the parish offices. He/she should be competent with the following computer programs: Microsoft Word and Excel, Parish Data base system, Calendar Wiz, and other programs as needed. Further competency is needed with regard to emailing, web browsing, data entry and similar functions. The person should be able to prioritize responsibilities and fulfill tasks in a timely fashion.
Role of the Parish Secretary
The Parish Secretary is responsible for coordinating the efforts of the Pastor and Pastoral Staff. The Parish Secretary is accountable to the parish Business Manager.
Responsibilities
The Parish Secretary:
- Assists parishioners with: sacramental certificates and coordinates funerals, registrations, mass intentions, and Sunday announcements.
- Answers phone calls and to assist callers as best possible.
- Prepares the weekly bulletin for publication.
- Maintains the Parish Calendar and facilitates facilities usage by parish organizations.
- Maintains Parish Sacramental Records.
- Prepares the Sunday Universal Prayers and the Sunday Liturgical Ministers Guide.
- Sorts and distributes the mail.
- Provides secretarial support for the Pastor.
- Maintains the Parish Pastoral Files.
- Maintains office supplies and replenishes when necessary.
- Maintains the Parish Mass Intentions Book and materials related to mass intentions.
- Prepares the annual Pastoral Report for the Archdiocese of Philadelphia.
- Orders Liturgical Supplies for the Church.
- Complete any other task that need to be completed.
Work Situation
- Maintains a regular schedule of forty (40) hours per week - Monday to Friday, 8:00 a.m. to 4:00 p.m.
- Provided with adequate work space.
- Compensation and benefits are arranged separately.

Agreement of Service
The job description needs to be flexible in order to enable the pastor to design the position according to the needs of his parish. The job description is to be reviewed annually.
