JOB DESCRIPTION
Holy Martyrs Church, Oreland, is looking to hire a full time parish secretary who is responsible for the daily operations of the parish office.
WORKING HOURS: Monday - Friday, 9am - 4pm (35 hours per week) on site
REPORTS TO: Pastor
GENERAL DUTIES/RESPONSIBILITIES:
Responsibilities include but are not limited to:
- Provide administrative, secretarial and office support to the Pastor and parish staff
- Manage parish office, greet and assist parishioners and guests in person or by telephone and respond to needs and requests of parishioners
- Answer all phone calls and forward calls accordingly, take messages, etc.
- Respond to emails in a timely fashion
- Distribute daily mail
- Prepare the weekly parish bulletin and special programs
- Maintain the parish website and bulletin boards in the Church
- Prepare correspondence, reports, memos, certificates and forms
- Maintain paper and electronic filing systems
- Maintain parish membership and sacramental records
- Input collection and e-giving donations into the parish database
- Maintain parish offering envelope mailing list and coordinate distribution schedule with third-party vendor
- Coordinate parish bulk mailings
- Maintain Mass intention book and prepare Mass cards
- Maintain office photocopier and order office supplies ensuring that best price is secured
- Maintain the parish and facilities calendars
- Coordinate short-term rentals of parish facilities and related paperwork
- Assist with and disseminate information regarding the preparations involving baptisms, weddings and funerals
- Coordinate the scheduling of priest assistants
- Maintain Safe Environment Program records for all parish staff and parish volunteers
- Process PREP tuition payments in parish database and notify Director of Religious Education
- Oversee parish office volunteers
- Adhere to deadlines based on parish and archdiocesan calendars
- Participate in parish staff meetings and archdiocesan workshops and trainings
- Maintain strict level of confidentiality about parish business and parishioners' personal information
- Provide event and program support some weekends and evenings throughout the year
- Other related tasks as assigned by the Pastor
SKILLS, QUALIFICATIONS AND REQUIREMENTS:
- Minimum of a high school diploma
- Prior work experience in a parish environment preferred
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Publisher); experience with Google Workspace Administration and MailChimp a plus
- Experience managing and maintaining parish database; experience with Parish Data Systems (PDS) preferred
- Excellent communicator with strong organization skills, attention to detail, accurate data entry and filing skills
- Proficient skills in email and the use of the internet
- Excellent spelling and grammatical skills
- Energetic, creative and hands-on, with a collaborative attitude and ability to multi-task with ease
- Ability to relate effectively and positively with colleagues, volunteers, parishioners and vendors.
- High level of integrity and confidentiality
- Strong commitment to the Catholic faith and the mission of the parish.
- Perceive characteristic of objects through the eyes; express or exchange ideas by means of the spoken word; perceive the nature of sounds by the ear; sit for prolonged periods of time; frequent walking and /or standing; able to lift, carry, push or pull 35 lbs. maximum with frequent lifting and/or carrying of 20 lbs.
