SUMMARY: The administrative assistant performs standard and advanced duties for the School of Theological Studies with limited direction, offering primary support to the Coordinator of STS. The administrative assistant provides partial support, as needed, to Dean of STS, and to the two endowed chairs (Foley Chair of Communications and the Krol Chair of Moral Theology). The administrative assistant fosters the mission of the STS which provides Catholic education and faith formation opportunities for students, and on a larger scale the mission of Saint Charles Borromeo Seminary and Archdiocese of Philadelphia.


  • Maintain a clean, organized, welcoming environment in the School's business office
  • Manage STS office; visitors, phone calls, supplies, invoices, mail, emails, files, etc...
  • Assist with all STS communications: informational emails and letters to students; advertisement information of programs and events through Constant Contact, flyers and brochures; maintain, update Constant Contact lists, all STS programs' bulletin boards, classroom signs, etc...
  • Assist students with registration, enrollment, online access, and graduation.
  • Assist summer residence students with arrival and departure, events, and liaison for them with housekeeping and maintenance departments for their accommodations.
  • Assist professors with photocopying, class schedule, student contact, and online access.
  • Assist in coordinating the St. Charles Lecture Series; maintaining meeting minutes, invitations, flyers, RSVPs, phone calls, other related tasks.
  • Maintain STS website pages, all STS social media, and schools' emergency advisory updates, and other related website necessities as assigned
  • Prepare invoices and check requests for STS programs and all other programs as assigned
  • Preparation of meetings and events; lectures, graduation, staff meetings, and related assignments
  • Maintain all online educational programs of STS; Google Classroom - loading, updating, registration, payment, inquiries, issues, assistance.
  • Represent the STS at events and conferences and other related assignments.
  • Regular and frequent STS social media maintenance, updates, and news about STS
  • Other assignments / projects / duties assigned by Dean, Coordinator, Chairs, or other managers


  • Practicing Catholic / Knowledge of Catholic Faith/Respects the teaching of the Catholic Church
  • Fidelity to the teaching of the Magisterium of the Church
  • Professional, dedicated, respectful demeanor, polite, pleasant disposition
  • Flexible (Occasional night hours at beginning and end of semester and two or three Saturdays for events) with Good communication skills
  • Ability to work efficiently and cooperate harmoniously with others achieving a common goal
  • Skills with computer technology and social media and other such skills for online class programs
  • Competence with Microsoft Office and other general technologies
  • Attention to detail and willingness to learn
  • Excellent administrative, time-management and organizational skills
  • Able to take direction and complete all manager/s' assigned tasks in appropriate time frame

EDUCATION/EXPERIENCE The Administrative Assistant requires a Bachelor's Degree or equivalent. A degree in Theology is preferred but not required. Applicants should have, at least, one year of experience in an administrative environment. Administrative experience in an academic environment is preferred but not required.
