Office Manager

Montgomery County Family Service Center

Norristown, PA 

Develops, maintains and ensure efficient, productive, and professional clerical, fiscal and maintenance operations that support all staff, programs and services of Montgomery County Family Service Center.


Fully comprehends, articulates and reflects in job performance the mission and philosophy of Catholic Social Services.

  • Records, reports, files, and transmits all fiscal activities (e.g. accounts payable, accounts receivable, material assistance request, petty cash, travel expense, check request, appropriation request, etc.) to financial affairs department.
  • Assists Administrator in developing and implementing general office procedures
  • Provides secretarial support to Administrator relevant to confidential materials
  • Price and purchase all supplies needed for site programs; obtain administrative approval for supplies and major/minor purchases
  • Responsible for the oversight of building, including housekeeping and repairs.
  • Maintains adequate inventory of program/ office supplies; order supplies as needed
  • Assists Administrator with payroll responsibilities and distributes payroll checks
  • Ensures that new hire paperwork is distributed, completed, filed and returned to HR
  • Responsible for tracking staff and volunteer clearances and trainings ; maintaining updated staff personnel files
  • Conducts initial intake of all volunteers and maintains volunteer database
  • Supervises office volunteers housekeeping and Senior Employment agency workers
  • Assists Pantry Manager with creating and submitting reports; filing paperwork
  • Assists clients as needed
  • Assists Administrator and staff with event planning and other duties as assigned


  • Excellent oral and written communication skills
  • Ability to organize and prioritize varying work assignments
  • Strong interpersonal skills and knowledge of the population served
  • Sensitive to the needs of low income population


  • HS grad, college preferred
  • Proficiency in computer applications such as Microsoft Word, Access and Excel
  • Valid driver's license
